Cancellation and refund policies vary slightly from Gathering to Gathering and, of course, the dates will change accordingly. Below is the refund policy for what is currently the next gathering, as of the last time we updated this page. If the Gathering showing below is in the past, please notify us so we can update this page to relate to the next upcoming gathering.
FOR OUR FALL 2025 GATHERING:
Our policy on refunds depends if you do so before or after our closing date:
Cancellations before Sept 25, 2025 at 11:59pm. If you must cancel by this time, we’ll refund your payment minus a $50 processing fee. Credit card and Zelle payments are preferred. Refunds made on credit cards or via Zelle will be processed within a couple of days of the request. Payments by check will take longer since we’ll mail a refund check to you. If this is “out of date” plan on the last day to cancel being the end of the day 15 days before we go to camp as we generally have to give the camp a guarantee number 14 days out.
Cancellations from Sept 26, 2025 forward: At that point, there are no unconditional refunds. If you must cancel, consider the popular option of “Sending a Man to Camp.” We’ll convert your event fees to a donation. This will accommodate a man who otherwise couldn’t attend at all. It is even tax-deductible if you itemize! If you know someone who can use it or was planning on going and hasn’t paid yet, you can transfer your Event Fees to his specific registration and avoid the processing fee. You and he work out the deal on your end. Just let us know his name, so we know who to credit.
If there is a waiting list for the event and we CAN sell your spot, we’ll refund the balance minus the $50 fee, but there is no guarantee that there will be a waiting list for this event. This also applies to Room Upgrades, we WILL try and resell it for you and refund that part of your payment.
No-shows at camp are not eligible for refunds.
